For agencies: scope creep is a conversation before it is an invoice dispute
Every agency dispute is really a disagreement about a sentence somebody said on a call. The client remembers a request as an approval; you remember it as an estimate. Donna attends the call, records it on infrastructure you control, and produces a read where approvals, requests and “can you just also” moments appear with the timestamp attached — which is both a commercial safeguard and, most weeks, simply a better handover to the delivery team.
What this job loses without a real record
- The account lead leaves and the client relationship history leaves with them.
- Three people from your side attend every call so nobody misses anything, which is three billable hours for one hour of meeting.
- A client asks for something in passing on week two and expects it delivered in week six.
The sections that earn their keep here
Approvals separated from opinions, with the tradeoff each was weighed against — and a flag when a decision was made with no alternative discussed at all.
The client’s exact words on approvals, budgets and deadlines, plus your team’s commitments back — the artefact that ends “we never approved that” conversations without an argument.
Who on the client side actually decides, and who merely attends. Most agencies learn this after the third revision cycle; this is it in the first report.
The lens that fits
The Boardroom — Power dynamics, subtext, and what nobody said — the classic Donna. Meetings Donna classifies as corporate — leadership reviews, board sessions, cross-team decision meetings, and anything that does not fit another lens. Donna selects it from the meeting itself, so nobody has to remember to switch modes.
The meetings behind it
Questions, answered straight
Can we tell clients their calls are not on a third-party AI cloud?
Yes, and you can prove it: recordings sit on the server you run, transcripts and reports in your own database. That is a materially different answer from “our notetaker vendor stores it”, especially for clients in regulated industries.
Can one report be sent to the client and one kept internally?
The share link and the exports carry a specific lens of a specific meeting, so you choose exactly what leaves the room and can revoke a link later. Internal reads simply stay in the dashboard.
Do we need a seat per account manager?
No. Donna is not licensed per seat: on the hosted service usage is metered in credits from your workspace wallet, and on your own deployment you pay your own infrastructure and usage. Adding a fourth account manager does not multiply the bill.
